MapAI Pty Ltd ("the Company," "we," "us," or "our") (120 Collins Street, Level 20, Melbourne VIC 3000, Australia) is an AI-powered geospatial query platform. We help analysts and teams ask geographic questions in plain language and receive interactive maps as answers. In doing so, we handle personal information and are committed to doing so responsibly.
The Company handles personal information in accordance with the Australian Privacy Principles ("APPs") under the Privacy Act 1988 (Cth) and applicable state privacy legislation. Contact: [email protected].
2. Personal Information We Collect
The nature of MapAI's platform means we collect a limited but specific set of personal information:
- Account information you provide when you register: name, email address, and organisation name.
- Query content you submit through the platform: the natural-language geographic questions you type, and any geographic boundaries or custom data layers you upload to your workspace.
- Usage and technical information collected automatically: query logs (timestamps, query text, result types), browser type, IP address, and session identifiers.
- Communications content: messages you send us via email or the contact form, including support requests and feature feedback.
- Billing information: for paid plans, billing contact details processed through our payment provider. We do not store full card numbers.
3. Purposes (APP 3, 6)
We collect and use personal information only for purposes reasonably necessary for the Service, including:
- Providing the natural-language geospatial query service and generating map results in response to your queries.
- Managing your account, workspace, and saved maps.
- Processing billing and subscription management for paid plans.
- Responding to support requests and product feedback.
- Measuring platform performance, diagnosing technical issues, and improving query accuracy.
- Communicating with you about service updates, new features, or changes to these policies where you have not opted out.
- Complying with applicable laws and regulatory obligations.
Query content and uploaded data layers are not used to train our machine learning models without your explicit written consent. Your workspace data is private to your account and is never made available to other users or organisations.
4. Disclosure (APP 6, 8)
We disclose personal information to processors acting on our behalf, including:
- Cloud infrastructure and hosting providers that operate the platform's servers.
- Analytics service providers that help us measure aggregate usage patterns (anonymised where possible).
- Payment processors handling subscription billing.
- Customer communication tools used for support and transactional emails.
We may also disclose personal information to authorities where required by law, court order, or regulatory obligation. We do not sell personal information to third parties for advertising or marketing purposes.
Where personal information is disclosed overseas (for example, to cloud providers with infrastructure outside Australia), we take reasonable steps to ensure recipients comply with the APPs or are subject to substantially similar privacy protections under their applicable law.
5. Your APP Rights
Under the Australian Privacy Principles, you have the following rights in relation to the personal information the Company holds about you:
- APP 12 - Right to access the personal information we hold about you.
- APP 13 - Right to request correction of inaccurate, incomplete, or out-of-date information.
- Right to opt out of direct marketing (APP 7) - you can unsubscribe from marketing communications at any time using the link in any such email.
- Right to anonymity (APP 2) - where lawful and practicable, you have the option to deal with us without identifying yourself, though this may limit our ability to provide full platform functionality.

6. Complaints
If you believe the Company has not handled your personal information in accordance with the APPs, we encourage you to contact us first so we can try to resolve the matter. If your concern is not resolved to your satisfaction, you may lodge a complaint with the Office of the Australian Information Commissioner ("OAIC") at oaic.gov.au.
7. Notifiable Data Breaches
If a data breach occurs that is likely to result in serious harm to you, the Company will notify you and the OAIC in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth). We maintain technical and organisational measures to protect personal information from unauthorised access, loss, or disclosure.
8. Retention
We retain personal information for as long as your account is active or as needed to provide the Service. Query logs and workspace data are retained for the duration of your subscription plus a period to support dispute resolution or legal obligations, and then deleted. If you close your account, you may request deletion of your data by emailing [email protected].
